Position Summary This role provides administrative support to the Office for Research & Innovation. Responsibilities include, but are not restricted to: administrative support for meetings, (may include meeting scheduling, arranging catering, secretarial support etc), procurement of office consumables and equipment, designing & printing event materials, claims processing, travel arrangements, support in organizing research events and programs and tracking & accrual of expenses in line with the office budget. The officer may be required to support management of files, manage office mailbox and generating reports as required by the office. This role is expected to support the team within the Office for Research and Innovation with their activities and to help in achieving efficiency in the processes, through a collegial attitude.
Reporting Line Reports to: Acting Senior Manager, Office for Research and Innovation
Key Accountabilities
  • Provide high quality support in administrative processes to ensure efficiency in the functioning of the office.
  • Follow University policy to procure office consumables/equipment, process payments and design/print materials.
  • Coordinate the annual budget development within the office and support in tracking and accrual of expenses.
  • Assist in coordinating, organizing and running research related and office events by supporting logistics, catering, publicity and invitations.
  • Manage and generate reports, as and when required.
  • Support in paperwork for various processes and manage the documentation and filing of the same.
  • Manage and address queries in the research office mailbox and direct appropriately to the relevant team member, where required.
  • Support the PhD program by processing paperwork for scholarship, where required and assist in budget preparation.
  • Support the coordination of materials with the team members for the monthly research newsletter, before compiling and disseminating to academic staff.
  • Ensure office share point content is up to date.
  • Assist in travel arrangement for the team when the need arises.
  • Any other support and functions required for the smooth functioning of the Office for Research and Innovation.

Key Selection Criteria
  • A Bachelor’s Degree in a relevant discipline.
  • At least 1-year experience in similar position in administrative and procurement tasks.
  • Effective communication skills to be able to liaise internally and externally with potential candidates and vendors.
  • Well-developed planning, organizational, analytical and problem-solving skills; working independently, or as part of a team.
  • Attention to detail and accuracy and demonstrated experience in following protocols and procedures.
  • Be proactive in handling issues that raise and have a “can do” attitude.
  • Ability to understand complex information and act appropriately.
  • High level of proficiency in computer literacy skills, including but not limited to Microsoft Office 365 and Google apps.
  • Ability to display appropriate behaviors in line with the position, as per the RMIT Behavioral Capability Framework (Connectedness, Commitment to Excellence – Improve and Simplify; Imagination and Innovation; Impact, Inclusion and Agility)

English Proficiency English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 5.5 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
